Use of Facility Request (Active Members)

​Definition of an Active Member

 

An active member is defined as a member in good standing who:

  • Attends worship services regularly (at least 2 Sundays per month in-person or online)

  • Contributes regularly through tithes and offerings

  • Participates in church ministries, outreach, or other church-related activities

 

Exceptions: Consideration is given to our elderly members and those who are sick or shut-in.

 

Immediate family members of an active member include:

  • Spouse

  • Parents

  • Children (under the age of 25 years, or permanently disabled)

This does not include: siblings, cousins, grandparents, nieces, nephews, grandchildren, friends, or other distant relatives.

 

ACTIVE MEMBER FACILITY USE BENEFITS

 

Active members and their immediate families are eligible to use the following facilities at no cost:

  • Sanctuary

  • Fellowship Hall

  • Kitchen

  • Ministerial Services

 

All other services and fees remain the same as outlined in the Non-Member Facility Use Agreement:

 

Area/Service Fee

  • Musician (if requested) - $250 - Does not include a soloist. 

  • Security Personnel - $50/hr

  • Clean-Up Fee - $100 (refundable)

 

SUBMISSION & APPROVAL

 

All Active Member Facility Use requests must be submitted for approval through the church office at least 14 days prior to the scheduled event.

TERMS & CONDITIONS

 

1. Application Submission: A completed Use of Facility Application must be submitted at least 14 days before the desired event date.

 

2. Liability Insurance - Liability Insurance may be required depending on the type of event, expected attendance, date, and time. This helps protect both your group and the church. The church is not liable for any incidents arising from failure to follow the provided guidelines. Non-members must provide proof of liability insurance and supply their own catering services, if applicable.

3. Approval: All applications are reviewed by the Pastor and/or Administrative Services or a designated church officer.

 

 

4. Payment: All fees are due no later than 3 days before the scheduled event. One payment is sufficient. Payment may be submitted via:

5. Clean-Up: Users are responsible for cleaning up after their event. The $100 clean-up fee is refundable within 72 hours of a satisfactory inspection of the Fellowship Hall and Kitchen.

6. Respect for Sacred Space:

  • No drugs, alcohol, smoking, or unauthorized weapons are allowed anywhere on church grounds.

  • No open flames are allowed (e.g., candles); Sterno/burners for chafing dishes are permitted with a designated responsible person.

7. Kitchen/Fellowship Hall Use:

  • Return all tables/chairs to their original location.

  • Wash and put away all dishes and appliances.

  • Wipe down surfaces; sweep/mop as needed.

  • Remove all trash and take it to the outside bins.

  • No food or supplies may be left behind unless approved by the Church Admin.

  • The use of church supplies (paper goods, condiments, decorations, etc.) are not included unless prior permission has been given.

8. Decoration Guidelines:

  • Decorations must be approved in advance.

  • Nothing may be mounted on the walls without written permission.

9. Cancellation Policy:

  • Cancellations must be submitted at least 48 hours in advance.

  • The church reserves the right to deduct expenses incurred if canceled late.

  • If any funds were collected, they will be refunded (minus applicable costs) within 72 hours after cancellation.

10. Audio Visuals: All audio/visual materials—including music selections (MP3/MP4/CD) and slideshow presentations (MP4)—must be submitted to the Music and Media Ministry at cjfwbcmedia@gmail.com at least 48 hours before the service for testing and approval.

 
 
 
FREQUENTLY ASKED QUESTIONS (FAQs)

1. Who qualifies as an active member?
An active member is someone who attends at least 2 services per month (in person or online), gives consistently, and participates in church activities. Exceptions apply for elderly and sick/shut-in members.

 

2. Who is considered “immediate family” for an active member?
Only a member’s spouse, parents, and children (under the age of 25 or permanently disabled) qualify. This does not include siblings, grandchildren, nieces, nephews, cousins, or friends.

 

3. What parts of the facility can I use for free as an active member?
You may use the Sanctuary, Fellowship Hall, Kitchen, and Ministerial Services free of charge. All other services, such as musicians, soloists, security, and clean-up fees, still apply.

 

4. Do I still need to pay for a musician or ministerial services?
Yes. The same fees apply to active members for all optional services outside the use of space.

 

5. Is security still required?
Yes. If your event is open to the public or involves a large gathering, church security personnel may be required at $50/hr.

 

6. When is the clean-up fee refunded?
The $100 clean-up fee is refundable within 72 hours of a successful post-event inspection.

 

7. Do I still need to submit a form if I’m an active member?
Yes. All events must be reviewed and approved by church leadership. Use of the facility is not confirmed until approval is given.

 

8. Can I use the church for a distant relative or friend’s event if I’m an active member?
No. Complimentary use only applies to events for you or your immediate family.

 

9. How far in advance do I need to submit my request?
At least 14 days in advance of your requested event date.

11. Since I am a member, will the church design and print my funeral or wedding program?

No, but we can recommend a trusted vendor if needed.

12. Since I am a member, will the church provide catering services?

No, but we can recommend a trusted caterer if needed. Must be licensed and bonded.

13. How do I cancel the rental agreement?

Cancellations must be submitted at least 48 hours in advance using the cancellation form below. The church reserves the right to deduct expenses incurred if canceled late.  If any funds were collected, they will be refunded (minus applicable costs) within 72 hours after cancellation.
